AI for health and safety consultancies: audits, RAMS and reports
Health and safety consultancies lose most time after the site visit: writing audit reports, risk assessments and RAMS, then chasing clients on actions. AI turns site notes, photos and scores into a first draft in your own format, so the consultant spends their time on judgement.
Start with your most common report. Give AI your template, scoring rules and three good past reports, then test it on live audits with the consultant signing every finding.

Where AI pays back first
More revenue
Turn reports round within days, so you can take on more audits per consultant and offer retained clients a faster service.
Lower costs
Cut the unpaid evening hours spent writing reports on fixed-price audits.
Time back
Give consultants more time on site and in client meetings by drafting reports, action plans and follow-up emails.
Jobs worth looking at
| Job | How it often runs now | Where AI can help | What a person still checks |
|---|---|---|---|
| Site audit reports | Notes and photos are typed into a report for a week after the visit. | Draft findings, risk ratings and actions from structured notes and photo captions. | The consultant confirms each finding and rating against what they saw. |
| Risk assessments | Assessments are copied from old jobs and edited by hand. | Draft hazards, controls and residual risk from the task and site details. | A competent person reviews every control for the actual site. |
| RAMS for contractors | Method statements are adapted for each job at short notice. | Draft the method statement and sequence from the scope and site rules. | The supervisor or consultant confirms the method fits the real job. |
| Client action tracking | Actions sit in reports and spreadsheets and are chased by email. | Pull actions into a tracker and draft reminders by owner and due date. | The consultant decides when an action is closed. |
| Policy and training content | Policies and toolbox talks are written from scratch. | Draft policies and toolbox talks from HSE guidance and the client's activities. | The consultant checks the content against current law and guidance. |
Many consultancies use inspection apps such as SafetyCulture, Cognito Forms or bespoke spreadsheets, plus Word report templates. Iain built his own audit app with Codex. Business accounts of ChatGPT, Claude or Copilot fit drafting.
Different firms, different starting points
Independent consultants
One person does the visit and the report. AI drafting from site notes gives the biggest time back.
Multi-consultant practices
Consistency across consultants matters. Shared templates and scoring rules let AI keep every report in one style.
In-house safety teams
Large sites with many audits and actions. AI helps track actions and spot repeat issues across sites.
Worked example
A consultant who stops writing reports at night
A consultant runs four site audits a week for construction and hospitality clients. Each report takes a full evening, and clients wait up to ten days.
She records findings with photos and short voice notes against the audit headings. AI drafts the report in her template with ratings and actions.
She reviews every finding before sending. Reports now go out within two days, and she uses the time saved to sell retained support to two clients.

You are helping a UK health and safety consultancy find its first AI use. Ask me one question at a time.
Ask about our clients' sectors, the reports we write most [audits, risk assessments, RAMS, fire risk assessments] and how long each takes after the visit.
Suggest three uses ranked by revenue, cost and time, and say what a competent person must check under HSE expectations.
End with a two-week test on one report type, measuring hours per report and turnaround time.
Rules that shape the work
HSE expects risk assessments to be suitable and sufficient and carried out by a competent person. AI can draft, but a competent person must decide.

Shadow AI
Consultants on tight deadlines often paste client site details into free chatbots. Give them an approved tool and a clear rule on what client data it may hold.
Keeping data safe
Use business or enterprise AI accounts with model training turned off and a data processing agreement signed. Audit photos can show people, so check consent and keep them in approved storage.

Hotel audits: from Excel to a risk and intelligence system.
Iain Davidson audits health, safety and security at five-star hotels. Before coaching, a three-day site audit was followed by about a week of manual report writing. He built his own audit app with Codex, produced a 70-page first client report with it and now uses it across several European hotels.

Pick the report type with the longest turnaround and set a rule that a competent person signs every output.

Questions owners ask
Can AI write a risk assessment?
AI can draft hazards and controls from your notes. A competent person must check that the assessment fits the real task and site before it is used.
Is AI-generated RAMS acceptable?
Only if a competent person reviews it and it reflects the actual job. Generic AI RAMS without review can create risk and liability.
How can AI help health and safety consultants?
Mainly with report writing, action tracking, policies and toolbox talks. The site judgement stays with the consultant.
Will AI replace health and safety officers?
AI cuts the paperwork, but inspections, judgement and legal duties need competent people.
