AI for accountancy practices: where to start in the UK
Most UK practices get the quickest return from AI on client-facing admin around the numbers: onboarding, chasing records, first drafts of client emails and turning year-end work into advice. Bank feeds and data capture are already automated in tools like Xero, QuickBooks and Dext, so AI adds most where people still read, write and decide.
Start with one job that every partner complains about. Map it, try AI on the slow steps in a business account with training turned off, and keep a reviewer on anything that reaches a client or HMRC.
8,805 UK firms in accounting, bookkeeping and tax have 5 to 249 staff, out of 40,615 in total. Source: ONS, UK business: activity, size and location 2026.

Where AI pays back first
More revenue
Turn year-end and management accounts into short advisory notes, so more clients move onto higher-fee advisory packages. Faster proposals and engagement letters also help you take on new clients sooner.
Lower costs
Cut write-offs on fixed-fee jobs where staff time runs over, mostly in chasing, re-keying and answering the same client questions each month.
Time back
Give managers back hours lost to drafting emails, summarising client files and preparing review notes, especially in January and around Making Tax Digital deadlines.
Jobs worth looking at
| Job | How it often runs now | Where AI can help | What a person still checks |
|---|---|---|---|
| Client onboarding and engagement letters | Staff copy an old letter, edit the scope by hand and chase ID checks by email. | Draft the engagement letter and scope from a short intake form, and list missing anti-money laundering items. | A manager confirms the scope, fee and AML risk rating before it goes out. |
| Chasing year-end records | Generic reminder emails go out, then someone searches inboxes and portals to see what arrived. | Compare received items to the request list and draft a reminder that names only what is missing. | Staff confirm the checklist status and handle client questions or promises. |
| Review notes on draft accounts | The reviewer writes notes from scratch and the preparer answers them in a long email chain. | Summarise movements against last year and suggest questions on unusual balances. | The reviewer decides which points matter and signs off the file. |
| Management accounts commentary | Numbers go to the client with a few lines of comment, or none. | Draft plain-English commentary on margin, cash and debtor days from the pack. | The accountant checks every figure and adds judgement on what the client should do. |
| Answering routine client questions | Partners and managers answer the same VAT, payroll and deadline questions by email. | Draft replies from your own approved help notes and the client's file. | Staff send only after checking facts and anything that could count as tax advice. |
Most practices already run Xero, QuickBooks or Sage with Dext or AutoEntry, plus practice software such as IRIS, Karbon, TaxCalc or BrightManager. Look at the AI features inside these first, then use ChatGPT, Claude or Copilot business accounts for drafting and summaries.
Different firms, different starting points
Accountancy practices
Partner-led firms with compliance and advisory clients. The biggest gains sit in onboarding, review and advisory write-ups.
Bookkeepers
High-volume transaction work is already automated by bank feeds. AI helps with client queries, month-end exceptions and explaining figures to owners.
Tax advisers
Research and letters take the time. AI can draft and summarise, but every point of tax law must be checked against primary sources.
Payroll bureaux
Deadlines are fixed and errors are costly. AI fits pay query replies, change-request intake and starter and leaver checklists.
Worked example
A ten-person practice and its January rush
A practice with 400 self-assessment clients spends most of December and January chasing records. Two staff send reminders by hand and check a shared inbox each morning.
They map the job and find the slow step is matching what arrived against what was asked for. A checklist in the practice software now holds each client's items, and AI drafts reminders that list only what is missing.
A manager reviews the drafts in batches each morning. The partners use the hours saved to call twenty clients who need tax planning, which is where new fees come from.

Try a practical task
Find your first job to fix
Paste this into a business AI account. Fill in the brackets. It asks you questions first, then suggests one job to test.
Try this in your AI app
Using Gemini? The button copies the prompt. Paste it into the new chat.
You are helping me find the best first job for AI in my UK accountancy practice. Ask me one question at a time and wait for my answer.
Ask about our client mix [compliance, bookkeeping, payroll, advisory], our software [Xero, IRIS, Karbon or others], team size and which jobs run over budget on fixed fees.
Then list three jobs where AI could save time or win revenue. For each, say which steps AI drafts, which a person must check, and what client data it would touch.
Finish with a two-week test plan for the best job, including how we will measure time saved and any write-offs avoided.
Rules that shape the work
ICAEW's guidance on generative AI covers confidentiality, professional scepticism and checking outputs. Use it to set your firm's AI policy.

Making Tax Digital for Income Tax starts from April 2026 for sole traders and landlords over the income threshold. Plan client communication and records work around it.

Shadow AI
Junior staff often paste client figures into free chatbots to write emails faster. Give them an approved business account and a one-page rule on what never goes in, so the time saving stays and the risk goes.
Keeping data safe
Use business or enterprise AI accounts with model training turned off and a data processing agreement signed. Keep UTRs, bank details and payroll data out of prompts unless the tool is approved for them.
A relevant public story
28 people coached. AI workflows built around real PE work.
We coached 28 people at a private equity and credit firm through 21 sessions in three days. Each person built an AI workflow around their own reports, spreadsheets and research, the same kind of finance work a practice does every week.
What each leader should do first
Managing partner
Pick one job that hurts margin, approve a business AI account and set a short AI policy. Be 50% comfortable with the newest tools before chasing 90% with an old one.
Practice manager
Map onboarding and records chasing step by step, then run a two-week test with one team and count hours saved.
Owner of a small practice
Use AI first for client emails and management accounts commentary, since these touch revenue and take little set-up.
Questions owners ask
Is there an AI for accountants?
Yes. Most accounting software now includes AI for data capture and bank matching, and general tools like ChatGPT, Claude and Copilot help with drafting, summaries and review notes. The best start is one job your practice already finds slow.
Is ChatGPT good for accounting?
It is good at drafting emails, explaining figures in plain English and summarising documents. It can get tax rules and numbers wrong, so check every figure and every point of law before it reaches a client.
Will AI replace accountants?
AI removes much of the typing and searching around accounts work. Clients still need a qualified person to judge, sign off and advise, and firms that use AI well can offer more advice per client.
Can AI do my bookkeeping?
Bank feeds and receipt capture already automate much of it. A person still needs to review coding, VAT treatment and anything unusual each month.
Is it safe to put client data into AI?
Only in a business or enterprise account with training off and a data processing agreement. Set a firm rule on which data can be used and record it in your privacy notice.
