A practical guide / USALI hotel reporting

Can AI help with USALI reporting and the monthly hotel P&L pack?

Yes. AI can help map accounts, lay out department schedules and draft comments on budget gaps. Give it your approved account map and pack format. Keep the sums in a reporting model that runs the same way each month. Finance signs off new account mappings.

USALI means the Uniform System of Accounts for the Lodging Industry. HFTP uses it to teach hotel accounts, analysis and reports on performance. P&L means profit and loss. Start with one department and follow each line from the source file into the pack.

Trace each pack line back to its source and mapping rule.

  1. Check the reporting basis before mapping

HFTP gives 1 January 2026 as the start date for the 12th Revised Edition. Check which edition and basis your hotel has agreed with its owner and operator. Give the finance team access to the licensed guide when they decide where an account belongs.

    More on this step

Build an account map with these fields: ledger code, name, department, pack line, rule, start date and approver. Put a version number on the map and in the pack. HFTP’s bridge course covers changes between editions. Use the full guide to settle the detail for your hotel.

  2. Turn the PMS and ledger extracts into a clear bridge

A PMS is the hotel’s property management system. Take its revenue export and the ledger balances for the same month. Add the budget. Note the property, dates and currency on each file, then ask AI to explain the columns it will use.

    More on this step

Ask for matches against your approved account map. Match exact codes first. Put any new code into a query list with its name and a proposed pack line. The finance lead can then decide the rule and add it to the map.

Create a bridge from source total to mapped total. Show the amount still waiting for a pack line. Keep source account codes in the data. If PMS and ledger revenue differ, add the agreed adjustment, reason and journal reference to the bridge.

  3. Draft commentary from a variance schedule

Use your reporting model to work out actual, budget and prior-period values. Add the gap in pounds and per cent. Send those agreed results to AI with the department head’s notes. Ask for a short draft you can use at the review meeting.

    More on this step

OpenAI documents analysis of uploaded files, with tables and charts. A business workspace is one way to explore your schedule. Ask the tool to cite row IDs for each value in its draft. Keep managers’ reasons linked to their notes.

Try four headings for each comment: what changed, why it changed, action and outlook. If a manager has yet to explain a gap, ask a clear question about that row. Use their answer to finish the draft.

Worked example

Rooms reporting with one open account

Example with made-up details: Ashcombe Hotel supplies a rooms revenue ledger total of £420,000 against a £400,000 budget. Its approved map allocates £416,000 to the existing rooms lines. A new £4,000 package code goes into the finance lead’s query list.

The bridge shows all £420,000, with £4,000 awaiting allocation. Once finance approves that code, the schedule shows rooms revenue £20,000 above budget, or 5%. The revenue manager’s note attributes the increase to a group booking and records the booking reference.

AI drafts the commentary from that schedule and note. The approved mapping becomes part of the next month’s import, so the same code follows the agreed route when it appears again.

Illustrative example.

How this example works
  1. Extracts

Collect the revenue, ledger and budget files.

  2. Schedules

    Apply the approved account mapping.

  3. Commentary

Explain agreed variances with manager notes.

Use a pack checklist that follows the numbers

Keep a checklist in the close folder. First check the property, dates and source files. Then check the map version, new codes and bridge to the ledger. Follow with the budget version, department schedules and manager comments. End with finance sign-off and the issued copy.

Add an index with the schedule name, source file, update date and owner. Put open queries at the front of the review copy. Save the issued pack with the map and adjustment log. Next month’s team can use that file to understand the starting point.

The finance lead approves account rules, adjustments and the pack using licensed USALI guidance and your accounting policies. The ICO’s AI guidance covers personal data. Use only the guest and staff fields needed for the report, in your approved business system.

Try a practical task

Draft a department mapping and commentary brief

Give the tool your account map and one department’s export.

Try this in your AI app

Using Gemini? The button copies the prompt. Paste it into the new chat.

Check our [department] ledger file [file] against account map [version]. Use these approved codes and pack lines [map]. List exact matches first. Put new codes and their names in a query list for finance to decide.

Draft comments from our actual and budget schedule [schedule]. Use the headings: what changed, manager’s reason, action and outlook. Cite the row for each value and the note for each reason.

Return the account queries, a bridge from source total to pack total, and draft comments. Follow our pack headings [headings]. Show any amount still waiting for a pack line. Add those open items to the review checklist.

Questions about this task

Can AI choose the USALI rule for a new account?

Use it to draft the query and possible match. Your finance lead decides the rule using the right USALI guidance and records that decision in the mapping register.

Which department should we start with?

Choose a department with a clear ledger extract, an agreed budget and a manager who can explain the month. Complete its mapping and commentary before expanding the pack.
