How can construction firms use AI?

Look at the work between the site and the office. AI can help turn checked notes into a first draft of an update. Keep site facts, safety decisions and client promises with your team. Begin with an invented job so you can see how much review the draft needs.

The useful question is where your team loses time. Use the interview below to explore the handovers, then choose a small step to test.

Follow the handover. Draft from facts. Check the message.

  1. Follow a job from site to office

Ask a site lead about last week. Hear from the office team too. Where did an update start? Who wrote it, checked it and sent it? Note where people had to chase a missing fact.

    More on this step

Look beyond typing. A clearer place to keep notes may help before you add a tool. Choose an end point that matters, such as a checked update ready for the client. Ask both people what would make that step easier without losing the facts they need.

  2. Try a draft from checked notes

Use a few made-up notes. Add dates and clear labels. Keep done, blocked and planned work apart. Tell the tool to use only the facts in that pack.

    More on this step

Ask the site lead to check each line. Keep unknown dates as unknown. Do not let the draft promise a visit, a cost or a finish date that no one has agreed. Save the checked version with its source notes so the office can trace what was said.

  3. Keep site planning separate

HSE says a construction phase plan must be prepared before the construction phase starts. The guidance explains who must prepare it. This depends on how many contractors work on the project. Keep that planning with the people responsible.

    More on this step

Use your first AI trial for a defined office task. If the notes raise a site concern, follow your agreed site route. A polished update or a set of photos does not show that the work is safe. Ask the site team what needs review before the message is released.

Explore the work between site and office

Try this prompt to find the lost time. Talk about a made-up project and the way your team works. Leave client and worker details out.

Try this in your AI app

Using Gemini? The button copies the prompt. Paste it into the new chat.

Help me find where AI or a better process could help our building firm.

Ask me questions one at a time about a job from the first enquiry to the final handover. Explore the office steps, site updates, document chasing and client replies.

Ask who needs each update. What do they need to know? Who checks the facts? Find out where we copy text, wait for answers or make the same call twice.

Ask what outcome we want: less admin time, fewer missed details, lower costs or more time to quote for work. Do not assume we need a new tool.

Repeat the work back to me and let me correct it. Give me a short table of possible changes, their goals, the facts needed and the checker for each one.

Suggest a small trial with invented job notes. Keep safety decisions, work methods, estimates and client promises with our team. Show what we would measure and when we should pause.

Worked example

Check an estimate and its job notes

A construction firm tests a draft quote for an old job with made-up details. The estimator supplies checked quantities, prices and scope notes. The draft should arrange those facts clearly. It must leave missing costs open for the estimator, rather than making up a price.

The site team also tests a draft update from sample job notes. It keeps work done, blocked work and next steps apart. The site lead checks the status before the office shares it. The firm counts the time spent finding facts, drafting and fixing both samples. That shows whether either change is worth keeping.

Made-up example.

How this example works
  1. Checked facts

Collect prices, quantities and site notes.

  2. Office draft

Keep gaps open in quotes and updates.

  3. Team review

Check the costs and work status.

A few more things to know

Leave private details out of early tests

Use invented contacts and job addresses while you explore the task. Ask what the draft truly needs. A status update may need a work stage without needing a worker’s personal details.

The ICO’s AI guidance covers keeping personal data secure and limiting its use. Review the service and account before real records go in. Check access to shared files and saved chats. Give staff a clear place to keep the checked copy and a contact if they share something by mistake.

Count checking as part of the job

Time the full path from collecting notes to sending the checked update. Include the fixes to the draft. Count calls back to site for missing facts too. Compare like-for-like tasks.

Ask the client-facing person whether the update is easier to use. Check that the new route still works when someone is off or a tool is unavailable. Keep a way to work without the tool. If review takes too long, narrow the task and test again before adding more work to it.

Could we use AI for estimates too?

Begin by looking at how you estimate today. Keep quantities, current prices and job assumptions under review by the right person. Test any drafting help on past, invented examples before relying on it for a quote.

Should updates go out on their own?

Start with drafts that a named person checks. Agree the source for each fact and who can make a client promise. Let the trial show whether the process helps before widening it.
