A practical guide / Manufacturing

AI in manufacturing: where small manufacturers start

Manufacturers can use AI to draft specification sheets from released records. It can also assemble quote packs and write change notices. Give it the released drawing, product data and the document format required. It can then sort the information for sales, production or the buyer.

Start with one product family and one document type. A product sheet is a useful first task. Check the draft against the drawing ID, units and version.

  1. Build the product sheet from released records

Prepare a source pack with the released drawing, bill of materials, approved product data and relevant test records. Find which documents apply to the product variant. Ask AI to fill in a product sheet. Start with product ID, sizes and materials. Add interfaces, conditions of use and supplied options.

    More on this step

For each value, keep the unit, qualifier and source ID. Keep precise engineering terms from the source. Add a short overview for the sales team above the data table. Explain the product’s stated purpose and features.

Keep product variants in separate rows or separate sheets. A dimension from one variant should remain visibly attached to that variant. Add the drawing version and issue date to the footer. Use these to trace the sheet when a change is released.

  2. Build the quote pack from the enquiry

Extract the buyer’s requested part, quantity and drawing version. Add the finish, delivery date and inspection documents. Put these in an enquiry summary for the estimator. Add a column for the matching internal record and another for questions to resolve.

    More on this step

Use the estimator’s approved cost inputs and price terms to prepare the quote pack. Keep materials, bought-in items, operations, setup and delivery in their own fields. Carry the estimate’s assumptions into the proposal so the buyer can see what the price covers.

Let the costing system or spreadsheet calculate totals. Supply the approved results to the drafting task. AI can then draft the scope and agreed exclusions. Add the lead-time basis and quote validity. Give the sales reviewer a clear list of buyer questions still awaiting an answer.

  3. A product sheet for one machined component

Example with made-up details: drawing BR-24 version C shows a mounting bracket. It is 120 mm long, in 304 stainless steel, with a brushed finish. The enquiry requests 200 units and cites version C. The approved data contains no load rating.

    More on this step

The draft sheet reads: “Product: mounting bracket BR-24. Drawing: version C. Material: 304 stainless steel. Length: 120 mm. Finish: brushed.” The quote summary carries the requested quantity into its own quantity field.

A query asks the engineer whether the buyer needs a load rating. Sales now has a product outline. The load-rating question is ready for the engineer.

Write change notices around the affected work

For a design change, gather the old and new released versions plus the approved change record. Ask AI to compare the supplied documents. Draft the notice under reason, affected parts and change details. Add the changeover point and actions by team.

State the changeover point using the ID the engineer has approved, such as an order, batch or serial number. Include the agreed treatment of stock and work in progress. Add the teams who need to reply to the notice: purchasing, production, quality and sales, as needed.

Keep an issue log with issue date, document version and reply. Draft a buyer summary where the approved change needs explaining. Use the same change ID on both drafts. This links the internal notice to the buyer’s copy.

Release technical and safety content through the engineering team

OPSS explains that manufacturers must show their products meet safety rules. Products also need to be traceable. Conformity assessment can include technical records and tests. The engineer approves specifications, ratings and safety statements. Use the relevant product rules and evidence.

GOV.UK’s marking guidance explains the routes for UKCA or CE marked products in Great Britain. Check the route for the product and market before adding compliance wording. For factory equipment, HSE says maintenance needs competent people. Keep machinery instructions and maintenance decisions in that review process. Protect commercially sensitive drawings using the company’s approved document workspace.

Try a practical task

Create a specification and enquiry query list

Prepare a sheet for [part and variant]. Use released drawing [ID and version], the bill of materials and approved product data. Follow our buyer sheet headings.

Try this in your AI app

Using Gemini? The button copies the prompt. Paste it into the new chat.

Extract sizes, materials, finish, interfaces and logged working limits. Keep units and tolerances exactly. Add a source document and location beside each value in the working copy.

Compare the sheet with this buyer enquiry. Prepare a separate query list for missing requirements, version differences and requested documents. Draft a short product overview using the documented features. List the documents for the engineer’s review. Add the fields the estimator needs to fill in for the quote.

Questions about this task

Can the same records support sales and production documents?

Yes. Use the released pack as the common source, then apply the headings each audience needs. Keep the part, variant and version on every output. Colleagues can use these to trace the source.

Where should a small factory begin?

Choose a frequently quoted product with a complete drawing and data pack. Prepare its product sheet and enquiry summary. Ask sales and the engineer whether the format answers their usual questions.
