A practical guide / Funeral directors
How can funeral directors use AI?
Use AI to prepare arrangement checklists and draft short family updates for your team to review. It can also compare prices across your website, printed lists and quote templates. Begin with the records your team already uses.
Start behind the scenes. A clear meeting record shows what the family has chosen and which choices are still open. Add who will make the next call. Keep the wording warm, specific and easy to read.
Prepare an arrangement checklistGive arrangers a clear record and families a thoughtful update.
Build the checklist around the family’s wishes
Begin with the main contact and how they prefer to hear from you. Add the service, people involved and transport plans. Record personal wishes in the family’s own words. Keep costs discussed in the same record.
More on this step
Give each choice a status: confirmed, being considered or awaiting details. This makes room for a family to take time. Add the person handling each action and the next call date. Ask AI to gather open items into an agenda for that call.
Group tasks around each wish. A music choice may need a recording, running order and reply from the venue. Keep those tasks together. The arranger can then explain what has been done and what still needs a response.
Worked example
A family update with one clear next step
Example with made-up details: a family has confirmed the venue and transport. They are still choosing music. The arranger has agreed to call on Thursday afternoon.
A draft update reads: We have confirmed the venue and transport arrangements we discussed. You can take some more time to choose the music. I will call on Thursday afternoon, when we can go through your choices together. If you would prefer another time, please let me know.
The internal checklist records music as being considered, with the Thursday call beside it. A colleague covering the desk can see the agreed next contact. The family receives a message about their arrangements, with a clear offer of help.
Illustrative example.
Wishes
Record confirmed choices and open decisions.
Arrangements
Group practical tasks and named contacts.
Update
Prepare a personal message for the arranger.
Give routine messages a clear purpose
Keep formats for three common messages. The first gives an update after a meeting. The second asks for one missing detail. The third confirms a plan. Start with the reason for writing and close with a named contact or next call.
Ask AI to shorten a draft with several requests. Keep the most useful one in the message. Save the other points for the agreed call. Use the contact method and timing the family has chosen.
When a plan changes, state the change and what the arranger has done. Explain which choice the family needs to make next. Use the person’s chosen name and the wording agreed with the family. Read the message aloud before sending it.
Compare the prices your team publishes
Collect the current approved price files and record their dates. Ask AI to compare each named item across the branch list, website text and quote template. Request a difference report with the item, both amounts and the source document for each.
Use that report to prepare an update list for the person maintaining prices. Include the location of each published copy and who will replace it. Keep third-party fees clearly identified in the estimate so the arranger can explain the total.
For the next price change, reuse these fields: item name, approved amount, effective date, documents affected, person updating them and date completed. A dated register gives the team one place to check which version is current.
Price transparency and care with family records
The CMA requires funeral directors to display specified price and business information and keep it up to date. Its guidance covers the Standardised Price List and Additional Options Price List. Use the official template. Keep the required format when updating the Standardised Price List.
The Funerals Market Investigation Order page provides the template and explanatory note. Use them to guide the price review. Have the manager approve the published copies and estimate wording.
The ICO’s AI guidance applies to personal data in family records. Use an approved system and share the family details needed for the task. Keep sensitive calls and choices with the arranger. They approve messages and confirm the family’s wishes.

Try a practical task
Prepare the next arrangement call
Use this prompt with a fictional meeting record while developing your format.
Try this in your AI app
Using Gemini? The button copies the prompt. Paste it into the new chat.
From these meeting notes [notes], prepare a checklist grouped into confirmed choices, choices being considered and useful actions. Preserve the family’s wording for personal wishes. Include the noted contact preference and next agreed call.
Draft a family update of up to 100 words about these confirmed arrangements: [details]. Use a calm, warm tone and the arranger’s name: [name]. Include this single next step: [agreed action].
Then prepare a separate agenda for the arranger’s next call. Put useful questions in a helpful order, using the choices still open in the notes.
Questions about this task
What is a considerate first use of AI?
Prepare the checklist after a meeting with the family. It shows colleagues the agreed choices and open tasks. The arranger can use that same record to draft a brief personal update.
Can AI help when prices change?
Ask it to compare named items and amounts across the documents you supply. Use the difference report to update the approved files, then check the published copies against the current price register.
